# Custom Templates Reference

> Every tile, field, setting, permission, and assignment level available in DualEntry custom invoice templates, with defaults and constraints.

This page lists the building blocks of a custom template, the invoice PDF layout you manage under **Accounting Setup → Custom Templates**. For how DualEntry chooses a template for each invoice, see [How Custom Templates Work](./index). For steps, see [How to Create a Custom Template](./how-to-create-a-custom-template).

## Template settings

Template settings apply to the whole PDF. The following table lists each setting, its options, and its default on a new template:

| Setting | Where in the editor | Options | Default |
| - | - | - | - |
| Language | **Language and labels** | English, Dutch | English |
| Custom labels | **Language and labels → Custom labels** | Any text, up to 80 characters per label | The language's built-in labels |
| Date format | **Language and labels** | **Use system**, `MM/DD/YYYY`, `MMMM D, YYYY`, `MMM D, YYYY`, `DD/MM/YYYY`, `D MMMM YYYY`, `D MMM YYYY`, `YYYY-MM-DD` | **Use system** (your organization's date format) |
| Paper size | Above the canvas | A4, Letter | Letter |
| Logo source | **Branding** | **Company** (company logo, falling back to the organization logo), **Template** (PNG, JPG, or WebP up to 1 MB) | Company |
| Name | Editor header | Any text; must be unique among active templates | `Invoice template`, or `<source name> (1)` for a clone |

Currency, amounts, and number formatting come from each invoice, not from the template. Font size is set per field, from 8, 9, 10, 12, 14, 16, 18, 20, 24, or 28 points.

## Tiles

A template is laid out on a 12-column grid. Each tile occupies a whole number of grid units and never overlaps another. The following table lists every tile type:

| Tile | In **Add Tiles** | What it holds | Constraints |
| - | - | - | - |
| Header | No (part of the default layout) | Logo, invoice title, and company fields | One per template |
| Tile | Yes | Any fields, including invoice custom fields | Values sit to the right of, left of, or below labels |
| Text | Yes | Free text, such as a thank-you message or legal note | |
| Logo | Yes | The logo set by **Logo source** | |
| Divider | Yes | A horizontal rule | |
| Line Items | Yes | The line-item table | Must include the Item and Amount columns; visible columns total 12 units |
| Totals | No (part of the default layout) | Fields from the Amounts group | Stays at the bottom of the last page |
| Payment info | Yes | Payment instructions and **Pay online** | |
| Callout | Yes | Highlighted values, such as due date and amount due | One to three cards; card widths total 12 units |
| Button / Link | Yes | A single call to action, such as **Pay online** | |
| Footer | No (part of the default layout) | Up to three cards of fields or text | Card widths total no more than 12 units |

On a multi-page invoice, only the line items continue onto later pages. The header stays on the first page, and the totals and footer stay at the bottom of the last page.

## Fields

Fields are grouped in the **Insert Field** panel. A field marked "Hidden when empty" doesn't print on invoices that have no value for it, even if it's on the template. The following table lists every built-in field:

| Group | Field | Required on every template | Hidden when empty |
| - | - | - | - |
| Company | Logo, Company, Company address, Tax registration | No | No |
| Customer | Bill To, Email | No | No |
| Customer | Ship To | No | Yes |
| Invoice | Number | Yes | No |
| Invoice | Title, Date, Due Date, Payment Terms, Sales Order, Reference No., Watermark, Page number, Authorised Signatory | No | No |
| Invoice | Service Period, Place of Supply | No | Yes |
| Invoice | Payment information | No | Yes, when the invoice has no company payment instructions |
| Invoice | Pay online | No | Yes, unless the invoice's payment information is a Stripe integration |
| Invoice | Invoice custom fields | No | No |
| Line Items | Item, Amount | Yes | No |
| Line Items | Description, HSN/SAC, Qty., Rate, Tax, Classification | No | No |
| Amounts | Tax, Amount Due | Yes | No |
| Amounts | Items subtotal, Total, Already Paid | No | No |
| Amounts | Exchange Rate | No | Yes, unless the invoice currency differs from the base currency |
| Amounts | Discounts subtotal, Order Level Discount | No | Yes |

Saving a template without a required field fails with `Required fields missing` or `Required columns missing`.

**Service Period** prints the invoice's **Service period start** and **Service period end** dates, set in the invoice's details, as a range in the template's date format. It is hidden unless both dates are set.

## Assignment levels

A template applies to invoices through an assignment on an organization, company, or customer record. The following table lists each level, in the order DualEntry checks them:

| Order | Level | Where the **Custom template** field is | Applies to |
| - | - | - | - |
| 1 | Customer | Customer record, below **Billing Information** | Every invoice to the customer, from any company |
| 2 | Company | Company record, **Branding** tab | Every invoice the company issues |
| 3 | Organization | **Settings → Organization**, **Money-In** tab | Every invoice |
| 4 | System | Not assignable | Fallback when no level has an active template |

**Use inherited default** clears the assignment at that level. An assignment is saved only when its record is saved. Archived templates can't be assigned and are skipped during resolution.

## Template statuses

A template is either active or inactive. Archiving a template makes it inactive and moves it to the **Archived** tab; **Recover** makes it active again. The following table lists the archive rules:

| Template | Can be archived | Can be edited |
| - | - | - |
| System English Letter | No | No |
| Custom template applied to any record | No | Yes |
| Custom template not applied anywhere | Yes | Yes |

The **Applied for** column on the Custom Templates list shows each record a template is applied to, or **Nothing**.

## Permissions

Custom template actions are controlled by the following permissions, which appear as the **Invoice Template** module in the roles editor:

| Permission | Allows | Default roles |
| - | - | - |
| `invoice_template:view` | Seeing the Custom Templates list and opening templates | Admin, Accounts Receivable, Controller, Accountant |
| `invoice_template:create` | **New** and **Clone** | Admin, Accounts Receivable, Controller |
| `invoice_template:edit` | Editing layout, labels, and settings | Admin, Accounts Receivable, Controller |
| `invoice_template:archive` | **Archive** and **Recover** | Admin, Accounts Receivable, Controller |
| `invoice_template:assign` | Setting **Custom template** on an organization, company, or customer | Admin, Accounts Receivable, Controller |
| `organization_settings:edit` | Saving the organization settings form, needed for an organization-level assignment | See [User roles and permissions](../../../platform-configuration/user-roles-and-permissions) |
| `audit_trail:view` | The template's **Activity** tab | See [User roles and permissions](../../../platform-configuration/user-roles-and-permissions) |

## Scope

Custom templates apply to invoice PDFs in the PDF preview, single download, bulk download, and email attachment. Downloaded files are named by invoice number, such as `IN-538607.pdf`. Custom templates don't apply to credit memos, sales orders, customer statements, or invoice email bodies.
