How to Export Reports and Manage Report Groups

You export individual reports from DualEntry in multiple formats, and you organize related reports into named groups that export together. Report groups let you assemble recurring deliverables - close packages, board decks, audit binders - as a single action.

Export an Individual Report

From any report view, click Export and choose the format:
  • CSV: raw data in comma-separated format, suited for importing into spreadsheets or BI tools.
  • Excel: a formatted workbook that preserves column headers, grouping, and number formatting.
  • PDF: a print-ready document with headers, footers, and page breaks.
The export includes all visible columns and respects the current filters. If you filtered a report to a single entity and a specific date range, the export contains only that data. DualEntry generates the export file in the background and notifies you when it is ready for download. For large reports with thousands of rows, the background generation prevents the export from blocking your session. You access completed exports from Reporting → Export History, where DualEntry retains files for 30 days.

Create a Report Group

Navigate to Reporting → Report Groups → New Group. Give the group a name and optional description - for example, “Monthly Close Package” or “Q1 Board Deck.” You add any saved report to the group. Reports can come from the standard financial statements, the custom report builder, flux reports, aging reports, or any other saved report in your library. A single report can belong to multiple groups, so you can include the same income statement in both the monthly close package and the quarterly board deck without duplicating the report definition. You remove reports from a group at any time without affecting the underlying saved report.

Order Reports in a Group

Drag reports into the sequence you want for the output package. When you export the group, DualEntry produces the reports in that order. For a combined PDF, this determines page order. For a zip export, DualEntry names files with a numeric prefix to preserve the sequence. Ordering is important for close packages and board decks where readers expect a consistent structure. Place the trial balance first, followed by financial statements, then flux reports and aging schedules. You reorder reports at any time by dragging them in the group configuration view. DualEntry saves the order immediately, so the next group export reflects the updated sequence without additional configuration.

Run and Export a Report Group

Open the report group and click Run Group. You choose the output format:
  • Combined PDF: all reports rendered as a single PDF document with section dividers.
  • Zip of individual files: each report exported as its own file (CSV, Excel, or PDF) in a single zip download.
Each report in the group runs with its own saved filters and parameters. DualEntry generates every report in the group against the same ledger state to ensure consistency. The combined PDF includes a table of contents page listing each report with its page number, making it easy to navigate long packages. The zip export preserves individual file formats, so you can distribute specific reports to different recipients after downloading.
If a report in the group uses a relative date range (e.g., “current month”), DualEntry resolves the date at the time the group runs.

Schedule a Report Group

You schedule a report group to run and email on a recurring basis. Set the cadence (daily, weekly, or monthly), the output format, and the recipient list. DualEntry runs the group at the scheduled time and delivers the package as an email attachment. You manage scheduled group deliveries from Reporting → Scheduled Reports alongside individually scheduled reports. Each scheduled run logs the execution time, output format, recipient list, and delivery status. If a scheduled run fails - for example, due to a missing FX rate in a translated report - DualEntry logs the error and notifies you so you can resolve the issue and rerun the group manually.

Common Packages

Assembling standard packages as report groups saves time and ensures consistency across periods:
  • Monthly close package: trial balance, balance sheet, income statement, flux report, AR aging, AP aging.
  • Quarterly board deck: income statement with YoY comparison, balance sheet, cash flow statement, key metrics summary.
  • Annual audit package: full-year financial statements, detailed trial balance, flux analysis, account reconciliation summaries.
Create separate groups for each deliverable cadence. When the period ends, you run the group and deliver the output without manually assembling individual reports. Over time, report groups become the standard deliverable format for your organization - new team members produce the same consistent packages by running the predefined groups rather than assembling reports from scratch.
