The US Sales Tax Detail report lists every sales transaction line by state, so you can prepare state sales tax returns. It includes taxable, non-taxable, and exempt sales, since most states require you to report total sales on the return, not only the sales you charged tax on. The report is available to organizations with tax calculation enabled, and to users with permission to view financial reports.

Open the report

Go to Reports → Report Center → Tax and select US Sales Tax Detail, or search for “US Sales Tax” in global search. The report has one view, Detail.

Review the default filters

DualEntry applies two filters automatically when you open the report:
  • Country is set to United States. This filters on the ship-to country of each transaction. Add other countries if you want to see them in the same report.
  • Company is set to every company that has a US nexus. Add or remove companies as needed.
To narrow the report to specific states, select the Nexus (State) filter and choose one or more states. Select the x on any filter to remove it. Select + Add filter for additional filters: Account, Account Type, Classification, Classification Line, Company, Created Date, Custom Field, Customer, Item, Transaction Date, Transaction Type, or Vendor.

Read the report

The report shows one row for each sales transaction line. Rows are grouped by tax jurisdiction (state), with a subtotal for each group and a grand total, and rows within a group sort by company. The state comes from the transaction’s ship-to address, not the customer’s billing address. A sale is grouped under a state when the selling company has nexus in the state it shipped to. Sales that don’t match a nexus state fall into the No Tax Jurisdiction group:
  • Sales shipped to a state where the company has no nexus.
  • Transactions with no ship-to address, for example a service-only invoice.
DualEntry includes these sales so you can see total sales, including sales in states where you may be approaching an economic nexus threshold.
When a transaction has no ship-to address, its Ship-To City, State, and Zip columns render blank rather than falling back to the billing address.

Report columns

Select Customize to show or hide columns.

Export the report

Export the report to CSV or Excel from the report header. The export includes the columns and filters you have applied, so what lands in the file matches what’s on screen. For recurring delivery instead of a one-time download, save the configured report as a custom report and add it to a report package.

Limitations

  • Sales only: use tax on purchases is not included.
  • No item tax codes: the report does not show the tax code assigned to each item.
  • State level only: county and city tax breakdowns are not available.
  • No return summary: the report shows transaction detail. It does not calculate the per-state amounts to enter on a return.
  • Marketplace sales aren’t separated: sales where a marketplace, for example Amazon or Shopify, collected and remitted the tax are included with your other sales.
  • Customer’s Tax Status shows the current setting: if you change a customer’s exemption, the column updates on past transactions too. It does not reflect the status at the time of the sale.
