This page lists the building blocks of a custom template, the invoice PDF layout you manage under Accounting Setup → Custom Templates. For how DualEntry chooses a template for each invoice, see How Custom Templates Work. For steps, see How to Create a Custom Template.

Template settings

Template settings apply to the whole PDF. The following table lists each setting, its options, and its default on a new template: Currency, amounts, and number formatting come from each invoice, not from the template. Font size is set per field, from 8, 9, 10, 12, 14, 16, 18, 20, 24, or 28 points.

Tiles

A template is laid out on a 12-column grid. Each tile occupies a whole number of grid units and never overlaps another. The following table lists every tile type: On a multi-page invoice, only the line items continue onto later pages. The header stays on the first page, and the totals and footer stay at the bottom of the last page.

Fields

Fields are grouped in the Insert Field panel. A field marked “Hidden when empty” doesn’t print on invoices that have no value for it, even if it’s on the template. The following table lists every built-in field: Saving a template without a required field fails with Required fields missing or Required columns missing. Service Period prints the invoice’s Service period start and Service period end dates, set in the invoice’s details, as a range in the template’s date format. It is hidden unless both dates are set.

Assignment levels

A template applies to invoices through an assignment on an organization, company, or customer record. The following table lists each level, in the order DualEntry checks them: Use inherited default clears the assignment at that level. An assignment is saved only when its record is saved. Archived templates can’t be assigned and are skipped during resolution.

Template statuses

A template is either active or inactive. Archiving a template makes it inactive and moves it to the Archived tab; Recover makes it active again. The following table lists the archive rules: The Applied for column on the Custom Templates list shows each record a template is applied to, or Nothing.

Custom template actions are controlled by the following permissions, which appear as the Invoice Template module in the roles editor:

Scope

Custom templates apply to invoice PDFs in the PDF preview, single download, bulk download, and email attachment. Downloaded files are named by invoice number, such as IN-538607.pdf. Custom templates don’t apply to credit memos, sales orders, customer statements, or invoice email bodies.
